Designing a special event, social or business, from a block party or Medieval reenactment festival, to an award banquet, or college function, you cannot produce your marketing material or begin your publicity efforts until you have decided on the right location. This is where event planning comes in.
Likewise, you cannot invite speakers or book entertainment until your target objectives have been clearly spelled out.
Removing guess work and being resourceful is an underlying thread that runs through all event planning preparations. The more you research what you have available to work with, the easier it is to reconcile obstacles and put it all together.
Creating lists for the various steps and processes is a good way to accomplish this.
Event Planning Tools
A check list is an event planning tool and a pillar of the industry. Write it down on your check list and the chances of it getting done increases drastically.A check list will help you keep progress flowing in a positive direction. Whether time sensitive list objectives, such as securing venues or keynote speakers while they're available, or staple items such as event supplies and equipment, it's important to constantly update and revise your lists to comply with your needs.
Some useful headings to use for check lists may be: Tasks, Notes, Due Dates, Activity/Item, Cost, Actual Cost, Item/Question, Done/Complete, etc.
Event Budgeting
A budget is a written projection of expected income and expense for a given period based on an itemized and estimated plan. This document is an indispensable tool to help you oversee, follow, and verify what you are doing at all times, so be sure to update it often.
An accurate budget is your source for making decisive choices. Identify revenue sources so you know how and when to spend them. There are usually four sources of income: Reserves, Participants, Sponsorship, your own, or a combination of the above.
Examine actual costs as they arise with your estimated costs, and compare and prioritize them to reach your intended objective.
Event Venues
So, where's the party? Don't limit your imagination, be inquisitive. Try to facilitate a synergy between the venue, theme and attendee profile.Keep in mind, what you may consider an impressive location may not be any more costly than your standard hotel, excluding, of course, those uniquely exotic getaways.
Event Design
If impressing high profile attendees is your objective, you may consider hiring a company with a reputation for lasting impressions.Otherwise, if your event is corporate, social, or festive in design, be sure to inspire your participants in the direction of your objective.
For example, pizza, face painting, and balloons clearly won't inspire a productive board meeting in place of a radiant, freshened room with large conference table, cold water bottles, pens, and pads neatly in place.
Event Supplies
Event supplies are generally disposable. Some items that are bought or rented to comply with the special needs of an event are portable toilets, audio visual equipment, table linens, chairs and tables, tents, office equipment and supplies, catering equipment and supplies, candles, flowers, etc.Your event may have a need for corporate awards if an awards ceremony is part of agenda.
Likewise, you may need promotional items to distribute to attendees as part of your marketing efforts or event sponsorship agreement.
Finding the level of quality that fits your budget and vision is the goal.
- For all your Promotional Products
- For all your Trophies
Event Catering
Some components of event planning and management are an entire production in their own right. Catering fits that description. If catering is required for your type of event, approach it with tempered caution, it could determine your failure or success. Be meticulous in understanding how important a role food will play.
So, for a congressional dinner fast foods, snacks and cold beverages would be insulting where as for a sports event or circus, it would be quite appropriate.
Event Registration
Many turnkey registration companies charge in the range of approximately $4.00 and change per attendee. When using a third party vendor for these services, check references and make sure contractually you own the data and nothing may be shared without permission, and the data is secure. Methods for protection of personal information is paramount when planning your event registration system, such as Secure Socket Layer encryption for online processing, desktop shredders, etc. If you're event is small and simple, then perhaps just signing in will do. Using the proper judgment will certainly benefit your budget.
Event Lighting
Area schematics are one of the main concerns when designing the lighting for your event. It sets the tone and feel for many attendees.Use up-lights for wall murals and backrounds etc., pinspots to highlight tables and centerpieces, colored lights next to white spot lights can make clear distinctions. Holiday lighting applied to landscaping and entrances will make sure that paths are accentuated.
