All managers have to hold interviews with people in order obtain information.





These interviews may be for the purposes of:

  1. Staff selection

  2. Investigation of the facts surrounding a situation

  3. Staff appraisal

  4. Problem solving

  5. Goal setting
In order to get the best results from the communication, in the minimum time, you may need to develop certain key communication skills.

Here are the eleven communication skills required to get the best from your interviews.

Go through the following list and ask yourself:

"Are there any points here that I need to work on?"

1. The ability to convey information by clear explanation

The ability to use language in such a way that will allow for an accurate understanding.

This is the ability to use language in such a way that will allow for an accurate understanding.
It means being able to translate your mental images into clear and distinct words.
Many people are not able to do this well.
They say to themselves: "I know what I mean, but I can't explain it".
Don't let this happen to you.


Train yourself.
Develop your language skills.

2. The ability to obtain information by asking intelligent questions

One specific form of using language is the ability to ask incisive questions: to illicit specific and reliable information from another.

    Good questioning skills include developing the ability to:
  • Ask for clarification of an ambiguous answer

  • Ask for more detailed information

  • Asking for missing information


In addition, questions can be used to gain rapport and convey caring: "Can I get you a coffee, Watson?"

3. Listening skills

Listening well is a difficult skill to master.
Many people do not listen well because they focus their mind on their own thoughts rather than the words of the speaker.
  • When listening in an important interview, you are listening for:
  • The conclusions the other is suggesting
  • The reasons why the conclusions are right/good
  • The things that the other person has NOT said (what is assumed?)

4. Body language

Much of the emotional communication that goes on between two people is in the form of body language.

Body language has many component elements. You should try to be aware of:
  • Gestures,
  • Eye contact,
  • Positioning (relative to each other)
  • Facial expression
  • Posture.

5. Voice tone

The rest of the emotional content that is transferred between two people is in the form of voice tonality.
You should be aware of voice:
  • Volume
  • Pitch
  • Pacing,
  • Tone variation.

6. Preparation of interview environment

To get the best from an interview, consider the place and the time of the meeting.
If it is the wrong place, or at the wrong time, one of you will be distracted, so the meeting will not be good.

Ensure that the setting is conducive to productive communication.

Attitude
You must have the right attitude towards the other
person.
The wrong attitude will pollute the conversation.
The key words to bear in mind here are:

  • Fairness - Treat people how you would wish to be treated.

  • Integrity - Keep your promises and don't promise what you cannot deliver

  • Non prejudicia - Any personal prejudices relating to any particular groups should be ignored.

7. Proper preparation

Proper preparation means: The correct preparation of the room, yourself, and your materials.
  • Is the room right?
  • Are you ready?
  • Have you got everything you will need?

Do not let the lack of preparation ruin your meeting.


8. Accurate note taking

The meeting will come to an end.
Then it exists only in:
  • The (fading) memory of the people who attended
  • The notes that were taken at the time.
Once the interview is over, then the notes of the interview become very important.

How accurate are your written notes of the interview?
How complete are they?

You may need to provide an accurate and true record of the event.

We suggest that you learn how to talk, listen and take accurate written notes- all at the same time.

9. The Law

To comply with legal requirements.
If your interview has implications that are governed by the law, then make sure that you know the proper procedures.

You need to follow the procedures that will make the interview and the information gathered during the conversation, admissible in any subsequent hearing.


10. Procedure.

To comply with your internal requirements.
Your company too, will have its own procedures and rules that need to be born in mind.
Have you filled in the proper forms?
Have you informed the correct person of the interview?

Remember to do all the details.

In order to get the best results from the communication you may need to develop certain key communication skills

Go through the list of eleven communication skills again, one by one.
Ask yourself:

"Are there any points here that I need to work on?"



When you have made your analysis you will have at least two items that require your attention.

Then,

Go to work!

    As a manager at my company, I have the responsibility to keep my sales team focused. This requires many one-on-one conversations. Interview technique is important as Chris points out.     cool tips and nice lens. The main interview technique is to remain cool while being interviewed. Only then you become flexible in answering the questions. Try being yourself in an interview and you'll immediately realise how good you are at being interviewed!!!

    Some people in management positions think that conducting interviews is easy and don't believe there's any reason to take a course or learn about how to do it. Mind you, these same people believe they are great managers. The skills behind being an "interviewer" aren't something that is instinctive for most, its something that must be learnt!
