After hosting a number of baby showers and birthday parties at Rent My Garden I can tell you from experience a party planning list is an essential tool for organizing your special celebration and event day. A party planning list is an overall picture of what you want for your event and the estimated costs. Consider the number of guests that you want to invited, your budget, and the location of the party.
Times have changed!
A baby shower is marking a day with a celebration of new life, a baby coming soon. It seems the majority of Rent My Garden calls we receive are coming from many new mothers interested in hosting a baby shower for themselves. The intention of a baby shower is to literally shower the mother-to-be with blessings, gifts and the good will of her loved ones and friends. One of the questions we ask is... "How many guests are you planning for?" What surprise us is many Rent My Garden Baby Shower callers guest lists are 40 to 100 people. Which include family members of both parents and friends of both gender.
This is so different from my past Baby Shower experiences. Most of the time, the showers I have attended was planned and hosted by a family member- sister. relative or best friend. The guest list was small, quaint, intimate 20 to 35 friends - female friends only. The Baby Shower was fun and enjoyable because it was held in a family member, relative or friend's home in an area that allowed for privacy and comfort - living room or den and the guest had access to the dining and kitchen area. It was a rite of passage and a bonding experience time with other women.
Often times the males in my and my friends family would drop a family member and/or friend off with prepared food and a baby shower gift. Then pick them up after the baby shower party ended. This was really something different for my partner and I to see the guys attend a baby shower, wear corsages and being part of the party events.

It's time to make your 'to do' list!
Examples of items included on your party planning list might include the following party vendors: party event venues and locations, photographer, music and entertainment, party favors, party decorations, guest invitations with envelopes or consider evite.com invitations, names of hotels and car rentals for out of town guests, and gifts for family members and friends.
The average Rent My Garden hosted party costs including party vendors is roughly $1,500 to $2,000. Rent My Garden outdoor venue ($450 for 6 hours), party vendors - photographer ($300 - $420 for 6 hours $50 to $70 an hour), music DJ ($300 for 6 hours $50 an hour), invitations, party decorations, party supplies and paper goods, beverages (beer, wine, sodas, and ice) food, dessert and give away gifts and gift bags. So, it is important to outline 'your budget' and how that money will be spent ahead of time.
Advice: Do not do not underestimate the power of making a list to help keep you focus.
A party planning list should also include:
1) A timeline for the event, a date and the number of guests. When planning your party give yourself time. The more time you give yourself to plan, organize and locate party resources the less pressure and stress you will feel. If you are planning a major life event wedding, bridal shower, honeymoon, family re-union, 50th anniversary or 50th birthday party give yourself a year.
These are usually banquet occassions and require you to find a venue to host your event and leave a deposit to book a date. It requires you to give advance notification to your guests for them to plan and make travel arrangement.
If you are planning a birthday party, baby shower, graduation party you can do it within three months.
Usually, the best time that makes sense to host a party is on the weekend. Most people work during the week and have a hectic schedule. We have hosted several Friday evening parties which were festive and alot of fun. But most people seem to prefer booking our garden for a Saturday or Sunday party from 4:00 pm to 11:00 pm. It gives people a chance to finish last minute shopping or time to prepare foods and pre-cook party food dishes on Friday evening.
After planning your time line consider how many quests you plan on having come to your party and make an invitation list. You can get the addresses as you go, but you will want to have most everyone accounted for so you know how many people you will be expecting while planning the location, party food menu and the party favors and party supplies.
2) Once you have your date, pick a location. Location can sometimes be everything.
An alternate location for the party if scheduled as an outdoor event or rain dates
3) Party Vendors information including names and contact phone numbers
4) Party's Theme and Color
5) Pick the Menu - what food to serve. It can be catered, a bbq or potluck - guest bring a dish.
6) Music song selections for the party
7) The order of the party events
Food and serving times. Note any special dietary restrictions for Guests. Some guests may be vegan or vegeterian or don't eat pork. Take this into consideration when you are planning your food menu.
7) Recruit friends or other family members to come with you to check out your prospective party event venue's to be sure it offers ample space for your guest, parking and/or convenient to public transportation. Friends can help you organize and pick up the things you need, decorate your party's space the day of the event and contribute prepared party foods. If you are hosting a party with us at Rent My Garden we need a list of your party vendors, set up help and if you want to use the grill you need a designated party grill person.
Party Check List
The party should be planned using a party check list as well. A few items that should be included are the names of your party guests, music to be played, special dance music, the announcements and blessing times, and the food menu with beginning and ending serving times.
Important to make sure that all of your party vendors are paid accordingly to your agreement or contract andr prior to your event day. Include the name of the party vendors, the amount to be paid, and the method of payment they will accept on the party planning list.
Creating a party planning list will enable you to see the overall picture of your event day. You will rest easier knowing that the party plans are in motion and you know up front your party budget and how much you want to spend. Money can be one of the biggest stresses in life, so deciding on the guests numbers before the planning is too far along is going to relieve stress and eliminate misunderstandings down the line for you.
Your party planning list will be just one tool used to create the most memorable day for your event. This party planning list will be placed inside your planner book, along with your party check list, guest list, and other important items. Keeping everything organized is crucial for keeping stress levels at a minimum. This list is especially important if you are planning the entire event yourself, without the services of a professional event planner.

If you can organize and designate several family members and friends who own a digital camera and enjoy photography to take poised and candid photo's at your party event it will save you money.
If you can designate a family member or friend that enjoys the lastest music to be your music DJ or download MP3 for your party event it will save you money.

Ask and get a commitment from family members and friends to bring party decorations, party supplies (folding chairs, paper goods, beverages - make it BYOB party bring your own beer, wine, sodas, and ice), a prepared food dish, dessert to contribute to your party event it will make them apart of the event and it will save you money. Get your family and friends involved with your "Baby Shower" or "Baby's 1st Birthday Party". This summer my partner and I spoke to many new expecting mothers on the telephone who were planning their first baby shower or baby's 1st birthday party. Back in our day mothers, aunts, god-mother, sister or your best girlfriend organized and hosted a "Baby Shower" or helped the expected mother with the arrangements, financing and organizing it.
There is nothing wrong in asking for help. This is a great way to make sure your party event happens without problems and that everything goes smoothly. I understand it's easier sometime for some things in life when someone other than "mom" gives the advice! Then this might be the time to consider an event planner. Afterall, the Baby Shower event does revolve around you the expecting mother and the baby that will be arriving soon.
Unfortunately, we were unable to have these expecting mothers host their party with us because their preliminary guest list started at 40 people. Our Rent My Garden Capacity limit is 40 guests.
Make Your Children's Birthday Party Age Appropiate
A baby's 1st birthday should be simply. We hosted a first birthday party at Rent My Garden during the summer that was unbelievable for a one year old baby or a young child's birthday party. Whatever happen to family and party guests friends visiting, bringing a prepared dish to make a contribute to the food table and a gift for the birthday honoree, eat, chat, take photos, sing happy birthday and have cake and ice cream and open the presents to celebrate?
Believe it or not many guests of this party showed up empty handed - no food or beverage offering, no gift wrapped present or money card for the baby's birthday and some guests, even showed up with uninvited guests. Party Etiquette is you bring something to contribute to the party. If you are attending a diiner party you bring a bottle of wine or a dessert. If you have been invited and accept a birthday party invitation you bring a birthday gift, especially for a baby's or children birthday party. You never bring an uninvited guest(s) unless you have checked with the host prior to arriving at a party.
Tip: Create an special occassion online registry. Include the Registry's name and online address (url) in your party's invitations. Make sure you specify the number of guests on your party invitations and have your guests RSVP. There are also online party invitations (www.evite.com)that you - the host can send electronically via email. It is important to send out invitaions. The invitation plays an important role in making the party's announcement and setting the initial tone for your party. It is important to see smiles on the faces of all of your party guests and know that they are enjoying themselves and having a good time. It is, also, important to let your guest know what type of party you are hosting and your expectations.
Example: Casual Dress or Formal Attire, BYOB, RSVP, Gift Registry Info.
Advice: If you are planning to prepare food from your home for your party this will help you cut costs and save money, too. It is best to shop at BJ's, Costco's, Sam's to get the wholesale consumer discounts. Ask family members and/or friends to help you with the food preparations.
