What You Need to Fax from Google

Fax from GoogleGmail account. This is a free email service provided by Google. Signing up just takes a few minutes. Even though you can use your current Gmail account, I recommend you create a new one for faxing purposes.

Google fax number. This is a virtual fax number that will redirect incoming faxes to your inbox, where they'll arrive in a digital format. This number is provided by email fax services (Fax over Internet Protocol)

Email fax service account. Besides giving you a number to receive faxes on Gmail, these services count with multiple features that will save you time and money. Among them you can find:

-The ability to fax from your Gmail address and other free email providers.
-The ability to fax from iPhones and other cell phones.
-Fax broadcasting: send a single fax to multiple recipients at the same time.
-Fax scheduling.

Google Fax Step-by-Step Guide

Step 1. Go ahead and create a new Gmail fax address if you don't have one already. You can use a variation of your primary email address for faxing purposes.

Step 2. Create an account with an email fax service that is compatible with Gmail. RingCentral Fax's 30-day trial is a great place to start since it is completely free and you are able to fully test the features of a Google fax service.

In just a couple of minutes you'll be ready to fax using your Internet connection. Additionally, they offer compatibility with mobile technology.

Step 3. Log into your email account and compose a new email.

Step 4. Attach the file you want to fax to the email message. It can be a digital document, a scan, or you can choose to directly type the message in the email body.

Step 5. In the recipient's field, add the fax number following an e-mail structure. To make things clear, here is an example of how a number is entered when using RingCentral Fax.

Step 6. That's it! Just press send and the fax will be on its way. In a couple of minutes or less you should receive a confirmation email.

How Do I Receive Faxes on Google?

Receiving faxes on your Google account is extremely easy.

When you sign up with a fax service, you receive a virtual fax number that is linked to your Gmail address. By using this number, people can send you faxes, no matter if they are using a computer or a fax machine. The incoming fax is then converted into a PDF file and then attached to an email, which is then sent to your address.

Of course, this all happens in the background. You will only look at new faxes as new email messages on your Gmail dashboard.

Your Own Google Fax Number

Google Fax NumberNo doubt one of the main benefits of using an email fax service is that you receive your own virtual fax number. Back in the days of traditional fax machines, you needed to get installed a dedicated fax line, but now this is included at no extra cost in your account and is available for use in just a matter of minutes!

When someone sends you a fax using the virtual fax number they won't notice any difference. But what happens is that the fax image is transferred to the service's fax servers, where it undergoes a process of conversion. It is then sent from the servers to your email inbox using Fax Over Internet Protocol.

The fax arrives in your email already converted into a PDF file that you can easily search and browse. This, among other things, means that you have complete control over what is printed.

Is There a Google Fax Service?

google fax serviceMany people have asked me if there is such thing as a "Google fax service". In other words, a service provided by the search engine giant itself.

The answer is no. Although many users -myself included -would like to fax for free from a Google service, the company is not offering it right now, and it seems that there are no plans to develop an online fax service any time soon.

For now, you can use one of the services above to use as a Gmail fax alternative.

Benefits of Using Google Fax to Email

Faxing technology has evolved a lot since it first appeared some decades ago and traditional faxing now feels old in comparison to new ways of communicating. If you are not sure about making the jump to this new technology, here are some benefits that can help you make your decision:

Speed. Faxing over Internet only takes up a couple of minutes and the process takes place entirely in the background. On top of that, all fax services have features that can help you save hours of your time, such as scheduling, broadcasting and forwarding.

Lower fax costs. Getting started with a fax service can be as low as $4.99, and if you use a free trial you can even start out for free! You will also save the costs of ink, a dedicated fax line and paper supplies (something that also helps our environment!)

Security. Google fax services make sure that all your documents remain secure and private thanks to advanced protection and encryption technology.

Reliability. Communicating via Gmail fax is much more reliable than doing so via a legacy fax machine. You won't run into problems such as busy phone lines, missing faxes and the dreaded paper jams.
