Requesting an application form via email

When searching online and in the local newspaper for jobs, sooner or later you're bound to notice that some organisations don't have the facilities to allow you to apply online so they'll ask you to apply for an application form via email or telephone instead. You may find this a bit daunting as you may be unsure how to word the email appropriately (especially if you're looking for a job for the first time). Don't worry - in this page I'll explain what's expected, and I also include a template email that you can adapt for your own purposes.

What to include in your application request email

Your email needs to be direct and to the point. In most cases, it will be an HR admin employee processing the application form requests, so you don't need to include anything technical or anything too specific. Furthermore, you don't need to include any information in the email about why you want the job or a description of your skills, as the application form will include spaces for this.

Unless the employer has asked for anything specific, it is best to just supply the details they need in order to send you a form - for example, the title of the job you wish to apply for (in some cases the advert will have a job reference number, so make sure you include that), and your contact details. Some employers still use paper application forms, so make sure you include your postal address as well as your email address.

Template email for requesting an application form

Below is a template email or letter that you can use for requesting an application form. You can adapt this for your own use.

Dear [recruiter name]

Regarding the vacancy of [insert job title here] advertised in [publication/website name] on [date], [vacancy reference number], I would be grateful if you could forward on to me a job specification, application form and any other relevant documents.

My email address is [email address] and my postal address is as follows:

[full postal address including postcode]

Thank you in advance.

Regards,
[your name]

The next steps - receiving and completing the application form

After sending your email or letter, you should receive the application form within the next few days. This could be either via email or post. If you receive the form via email and it's in Microsoft Word format, you can probably type directly into the form fields and then email it back to the employer. (Before you do that, check the instructions carefully to ensure the employer doesn't expect you to print out the form and fill it in by hand. However, if the instructions say you can return the form via email, it will be fine for you to type directly onto the form.) If the form is sent to you in PDF (Adobe Acrobat) format, then it probably means you're expected to print out the form, fill it in by hand and return it via the post.
