Below are seven ideas you can use to create produtive and time efficient meetings.

7 Ideas to help you run effective meetings

  • Start on time.
  • Bring extra agendas, paper, and pens.
  • Let everyone know what the purpose of the meeting is.
  • Make sure one person is in charge of running the meeting.
  • Give out the agenda for the meeting at least one day ahead of time.
  • Never end the meeting until everyone's voice has been heard on all topics.
  • Never leave a meeting until every person is clear on what is supposed to be done before the next meeting.

When you show up to a meeting on time and it starts late you don't feel compelled to attend the next meeting on time. Starting your meeting on time might seem simple, but it makes a big difference when you tell people the meeting starts at 2 PM, and you actually start at 2:10 PM.

What you're doing is discouraging the attendees to not come to your next meeting on time.

Bring extra agendas, paper, and pens

If you had only three things you could bring to a meeting, what would you choose?

My guess is you would like to have an agenda. That way to knew what the meeting was about. Some paper to take notes on for the things that you need to do as a result of the meeting. And you would need a pen so that you can write down ideas, notes, and to-dos on your paper.

Let everyone know khat the purpose of the meeting is

Honestly, people don't enjoy going to meetings. It takes them away from their everyday work where they already don't have enough time to get everything done. When you invite people to your meeting, make it very clear why they have been called to the meeting and what the purpose of the meeting is. This will also help the meeting to stay on topic.

Make sure one person is in charge of running the meeting

I say that one person should be in charge of running a meeting because this will help to keep the meeting on track. This is going to be the same person that declares the purpose of the meeting. He/she should be the one who is also responsible for bringing the extra agendas, paper, pencils and should also make sure the meeting starts on time.

Give out the agenda for the meeting at least one day ahead of time

One of the ways to make sure that you're team is prepared for your meeting is to give out the agenda at least one week ahead of time.

Giving out your agenda one week before the meeting will remind participants of why they are attending, what they need to bring, and what they need to do before the meeting.

    Thanks for your visit... Did you know that one of the specializations from Berlitz English is called Meetings and Presentations? I'm using it this year with some of my English learners who are French.
