Using Manufacturing Software to Keep Projects & Jobs on Budget
The manufacturing and construction businesses are pretty simple. They involve two basic tasks - getting projects and completing projects. Successful companies in these industries consist of a combination of successful business development programs and efficient execution teams. While this sounds simple, we all know that many common problems can arise.
One typical problem is to complete projects within the budget that was allotted for the project. When push comes to shove, many companies realize that they will need more than 10% of the allotted resources to complete the final 10% of the project. Although they often do, a troubled project should never be a surprise to a good manager, regardless of the reasons/excuses.
The key to avoid running in to problems at the end of the project is to set and track budgets and variances for the project from the beginning. This requires the company to:
* Make realistic and detailed initial projections for cash flow, invoicing, spending, etc.
* Monitor the project's financial performance constant and make changes as soon as they are needed versus waiting to evaluate the project's financial situation until it is almost complete.
Effective construction accounting software will allow managers to see what percentage of the budget has been spent (in real-time) and how that number compared to the projections that were made. This also speaks to the need to ensure that projections are as accurate as possible, which modern construction and MRP software can do.
Further, if it becomes clear that the project is likely to come in over budget, changes need to be made immediately. If done to late, the best you can hope for is some sort of damage control. If the changes will result in fee changes for the client, they need to be notified as soon as possible.
Thankfully, there are numerous programs out there that will establish and track budgets for you. These construction accounting software packages are often integrated pieces of software that control more than just the financial tracking of the business. The one potential issue with these programs is that they can be highly complex. For projections to be accurate, the software must be able to break each project down to smaller components. On the other hand, the software must remain simple enough to use. A fine balance must be found between software power and user-friendliness, and this will vary from company to company based on the technological expertise of the users in each organization.
As is the case with most business activities, planning is key. Meeting a project or job budget is as important during the first 5% of the project as it is during the last 5%, so take advantage of the numerous construction accounting software and manufacturing solutions out there to track your costs throughout the job in real time so that you can make changes before it is too late.
