I don't know about you, but I could not function if I didn't have a system to manage my time.  There is simply too much to do these days.  Sometimes it feels like there aren't enough hours in the day to accomplish everything we want.  A time management system is invaluable.

 

In my search to find a time management system, I came upon a few versions that do the same thing but use different lingo to describe what they are doing.  As I usually do, I decided to combine and fuse several systems so that I could fit them into something that I could use.  Hopefully it will be useful to you and you will incorporate it into your daily life. 

Let's begin 

Step 1.

It is very important to know what is it that you are trying to accomplish. In order to get things done we need a target. The more precise is the target, the easier it is for us to make a plan of action for this target.

This action target can be a project that you need to complete, or something that you would like to achieve.

It is very important to be as clear about this goal as possible. The better target we will have the better we could prioritize it and complete it on time. Clarity also allows us to do a more efficient job at completing this task.

Action blocks 

Step 2.

Often when we are faced with many things to do, we get overwhelmed. So the question is how can we diminish this stress while still accomplishing everything we need to?

The answer to this lies in your ability to make action blocks.

Let's look at an example.

Let's say you are planning a party. There are a million things you have to do. You must find a venue, caterer, entertainment, and many other things. A lot of those tasks also consist of a few actions within it self. To find a venue alone you will need to call several different places, compare prices and then go see a few that you choose to make sure that you have the best venue possible. I get tired just of thinking about it.

So how do you not get overwhelmed with all of the things you have to do? The answer is grouping tasks that have similar goals into blocks, or mini projects.

Let's say you have to:

1. Call around to get a best price for the venue.
2. Go see the potential places and select one that you like.
3. Prepare the venue for the party, decorate it.

Those three tasks can be grouped under one umbrella of Venue. All of these tasks have something to do with the venue for the party. So now instead of having 3 tasks to do we only have one. Those mini projects is what makes big projects seem manageable.

Another good way to alleviate the stress is to call these action blocks something that is fun and inspiring, something that will connect with you, move you in some way.

What would be more fun to do "Get a venue" or "Find a Parthenon of festivity"?

Use names that are outrageous and that connect with you emotionally. By doing that, you are tricking your mind to perceive your tasks in a way that is more manageable, and it will be a lot more pleasurable then just "Finding a venue for the party".
