Managing a Registered Nurse Database

The purpose of this site is to teach nurse staffing agencies about properly creating and managing their RN database.

Doing so will help them retain and acquire more clients by getting a reputation for having quality nurses available for work at a moment's notice.

Information is the Key to Success

The more you know about the nurses in your database the higher the chances of success

So, you have a client in Boulder, Colorado looking for an LPN. Unfortunately, you dont have any LPN in the Colorado region. I guess the client is just out of luck or is he?

If you have a good database management software that allows you to add fields and do searches by them. You might be able to find a nurse that is single, loves to ski, doesnt mind relocating and would love to move to the mountain.

If that is the case, perhaps you could contact this nurse and see if she would like to relocate to Colorado since she is more likey to say yes then a nurse who is single, doesnt mind relocating but hates to snow ski.

This is how information is king for having a large database with a lot of information about each nurse in it can save you time. If you have ever filled out a from from one of these online dating services, you will see that they ask hundreds of questions because they are trying to find you the perfect match, Its the same thing with a client and a database.

So don't be afraid to ask too many questions. Worry about asking too little questions.

Keeping the information fresh

Having a large database of registered nurses is not enough. It has to be constantly updated.

So now you have a quality database of nurses that are actively looking for jobs to fall back on but as time passes, so wil the information in the database.

The next task is to update the database.

The best way to do this is to update a nurse's information once a week. In most cases, a nurse staffing agency's database is so large that it is not feasable to update it that often but at the minimum, if a nurses profile has been in the database for over a month, it's time to update it.

The reason why these updates are necessary is because many thing can happen during that period of time. The nurse in question may have moved, changed phone number , found a job or even finished some higher medical information.

Even though it may seem like a lot of work, it will save you time in the end as you will not waste time contacting nurses that are no longer seeking a job next time a client uses your services looking for a nurse.

How to Use the Database Properly

Most companies do not use the database to their full potential

You have thousands of qualified nurses in your database that are just waiting for a phone call in hope of getting a job.

That's great but there is more that you can do with that information.

Analyze the data from all of the nurses in your database and look for trends and patterns. This can greatly help you in setting prices to your clients since its all about supply and demand.

Now would be a good time to create a weekly if not a monthly newsletter and send it every week to the nurses in your database.

A weekly newsletter has many purposes if it contains the proper content,

Show off the nurses that have just landed a job through your company. This will give hopes to the other nurses waiting to find a job and reinforce to them that they made the right choice by choosing your company.

Want to earn money on the side and help the nurses in your database become more marketable? Then include in your newsletters advertisments for classes that can help make the nurse more marketable. Even better, get the nurses in your database discounts to these classes as well as ways to earn scholarships or how to get loans.

Use your imagination and the possibilities are endless as to how you can make your registered nurse database work for you.
